This policy explains how [Company legal name] ("vizsu", "we") handles personal data in Mail by vizsu. It covers people who sign up for and administer the service, mailbox users, and visitors to our websites.

1. Two roles we play

  • We decide (controller / data fiduciary) for account, billing, support, security and website data about our customers and their admins. This policy covers that data.
  • We act for our customer (processor) for the content of mailboxes: messages, attachments, contacts, calendars, and the mailbox directory. The organisation that owns the domain decides how that data is used. If you use a mailbox provided by your employer or another organisation, contact them first about your data. Our Data processing agreement governs that processing.

2. What we collect

[Counsel to confirm the exact DPDP basis for each purpose and whether separate consent notices are required.]

4. Automated filtering

Incoming and outgoing mail is scanned automatically for spam, malware and phishing. Sending patterns (volume spikes, bounce and complaint rates) are monitored automatically and can trigger a sending suspension. People review a suspension when you appeal it or when we investigate abuse.

5. Who we share data with

  • Sub-processors that host and run the service, listed in Sub-processors.
  • Your organisation's admins, who can see mailbox configuration, audit logs and, depending on their role, mailbox content.
  • Mail recipients, when you send mail. That is the point of email.
  • Authorities, where the law requires it. Where allowed, we tell the affected customer first.
  • A buyer or successor, if the business is sold or reorganised, under the same protections.

6. Where data is stored

We host the service in India (Google Cloud and Amazon Web Services, Mumbai region ap-south-1). Some sub-processors may process limited data outside India, for example DNS or support tools. Where we transfer personal data of EU/UK residents, we use Standard Contractual Clauses or another lawful transfer mechanism. [Business to confirm the data residency promise; see README.]
